Brownie Encampment 2015

 

Update 4/23/15

 

 

We have been informed of some last minute changes at Green Oak Ranch. During the weekend, there will be church volunteers painting and doing improvements at Green Oak Ranch.  These volunteers will be working during the day and not sleeping at the Ranch.  They will be in separate areas from our activities.  It is a large ranch, 142 acres.  If you see an area roped off with construction tape please keep your brownies away from that area.  All the church volunteers will have been warned that if they are driving on the property to drive slowly and watch out for our brownies.

 

The following activities have switched locations:

 

  • The flag ceremony will be at the flag pole by the dining room parking lot. (Please note there is a second flag pole surrounded by dirt and new plants below the patio area off the dining hall.  It is NOT that flagpole.)

 

  • We will be having our lunch and dinner outdoors at the BBQ Area.  The lunch menu has changed to hamburgers, baked beans and chips.  The vegetarians will still get grilled cheese, baked beans and chips.  There are restrooms next to the BBQ Area and sinks to wash hands.  These restrooms will be for our exclusive use during our meals.  Please plan to bring your water bottles, jackets or sweaters so you can dress according to the weather.

 

  • We will be having our breakfast on their new outdoor patio in front of the dining hall.  Please plan to bring your water bottles, jackets or sweaters so you can dress according to the weather.  There are also restroom on the side of the dinning hall.

 

  • The Friendship Circle/Closing will be on the grass in front of the pond.

 

  • Attached please find a NEW schedule with the correct places of the meals listed and a NEW map which shows where the new flag pole is.  Please do not use the old schedule as it is no longer correct.

 

We are using the buddy system while at camp.  The girls are allow to be in pairs but must be in eye shot or ear shot of our adults. Otherwise the girls should be with their adults and leaders following the proper adult to girl ratio. 12 girls to 2 adults. Plus one additional adult for every 6 extra girls.

 

The restrooms surrounding cabins 1 through 12 (by the Horseshoe Circle) will be exclusively used by our Girl Scouts.

 

Please plan to pack an extra pair of shoes in case your or your brownies' shoes get muddy.

 

Kristy and I toured Green Oak Ranch today to ensure the best encampment possible.  It is a 30 minute drive from Scripps Ranch and the Ranch is not difficult to find.  When you enter the Ranch there are multiple paths - I will mark each split in the road with a sign "Brownies" to hopefully easily guide you to the cabin and parking area.  Please make sure you back in to your parking space.

 

As with any event, there may be unexpected situations that may arise during the weekend.  To make this a positive successful experience for all the brownies, I need all the adults to model positivity and flexibility and help to be a solution to unexpected problems that may arise.

Update 4/21/15

 

FINAL SCHEDULE AND MAP:

Link to the finalized schedule is above.  Please do not use old drafts of schedules that were handed out at the encampment meeting because the rotation groups have changed.  Your troop will be given one copy of this document at encampment.  If you have additional adults attending and they would like a copy, please have them print it and bring it.

 

WEATHER:

ARRIVAL AT GREEN OAK:

The drive from Scripps Ranch to Green Oak is about 30 minutes. Please have your troop arrive at 8am.  That will give you time to unpack without rushing and to make it to the flag pole by 9am. It's about a 10 minute walk to the flag pole from the cabins. Review the parking and check-in instructions on the schedule.  If you are setting up an activity, plan to arrive by 8am at the latest but not before 7:30am and have another adult check your troop in.

 

SWAPS:

It is advisable that you bring your troops SWAPS with you to lunch.  We are planning to trade SWAPS immediately after the Native American Story Telling however the timeline from lunch, story telling and SWAPS is very tight.

 

Update 4/8/15

 

TROOP CONTACT LOG:

Each Troop needs to complete a Troop Contact Log.  You need to appoint one person as an in town contact and leave a copy of this log with them.  The Troop Leader must keep a copy on them at encampment.  If there is an emergency or delay, the leader calls the in town contact who will then call all the other parents and let them know the status of your troop.

 

SAFETY MANAGEMENT PLAN FOR TROOP:

Each Troop needs to complete a Safety Management Plan for Troop Activity.  Here is a partially completed document. Where it says "first aider" please put the name of your troop's CPR person.  Please complete this document and have your leader carry it with her during encampment.  Please turn in a copy of this document to the Registrar, Christine Dopson.  You can bring it to our next encampment meeting on Monday.

 

PACKING LIST:

Here is a packing list.  Please also bring a fitted bedsheet to put under your sleeping bag or sleep sac.   If you wish, bring bells on string for door "alarm" (your cabin will have 2 un-lockable doors).  No vests/sashes are allowed on the encampment because they would get dirty and maybe lost.  Girls must carry their own stuff.

 

ANYONE DRIVING GIRLS NOT YOUR OWN DAUGHTER:

If you are driving any girls that are not your own daughter, please complete Transporting Girl Scouts.  Have your leader keep a copy of this document.

 

FOR THOSE OF YOU PURCHASING SUPPLIES:

We have 71 girls registered and 39 adults.  (110 people)  Please do not exceed your budget.  Let me know right away if you think that will be a problem.  Please save your receipts.  Please complete the check request document and attach your receipt.  Please make 1 copy of the check request document and your receipt for our Encampment Treasurer.  The original Check Request and Receipt will be turned into our Service Unit Treasurer for reimbursement.  If you have already expended funds, please complete this by Monday.

 

SNACKS:

If you want snacks, you need to bring our own snacks in a covered container. No eating in the cabins.  No food will be provided in between meals.  There will be water available through encampment.

 

CANCELLATIONS:

We cannot give refunds, but if you have cancellations, the registrar and I still need to know.  If someone new wants to join, they can reimburse you.

 

TROOP PACKING LIST:

  Troop snacks (not to be eaten in cabin)

  Troop first aid kit

  Bells for door alarm (optional; your cabin will have 2 unlockable doors)

  SWAPS

  Props for skit and song, if any

  Free time or bedtime activities (optional; I didn't find that I needed extra activities last year)

  Copy of Troop Safety Management plan; troop contact list

  Check Request form, if applicable

  Girls' medications, if any

  Matching hats, bandanas, or shirts, etc. for whole troop

 

FLAG TROOP: 

If you don't get a flag kit with special sashes in it, your girls should wear their vests.  You will need to arrive early and get your troop over to the flag pole early to do a walk through.

 

Our next encampment meeting is Monday, April 13th at 6 pm at Dingeman.

Also to verify every adult encampment attendee is a registered Girl Scout please have your leader take a screen shot of their registered troop page. Here are instructions on how to take a screen shot. Please forward this information to our registrar,

If you have any craft supplies that you would like to donate towards our talking stick craft please bring them to our next encampment meeting.

Update 12/4/14

 

Our next Encampment planning meeting will be on Monday, January 12th at 6 pm at Dingeman Elementary.

  • Adult Health History completed and in a sealed envelope stating "Adult Health History of Name of Individual".

 

Adult Girl Scout background check

  • Every Adult spending the night or driving any Girl Scout must complete a Girl Scout Background Check.  If they already did the background check and need a copy of their results please have that adult email Dayana Silva-James at volunteer@sdgirlscouts.org and they can provide that adult proof of their passing the background check.  Please have that adult print out a copy of the email which states that they passed their background check and turn it in with your troop's registration documents.

  • If you have an adult that needs a background check, please have them click here.  It may take 30 days to process, so they need to do this sooner, rather than later.

 

 

Update 11/9/14

 

 

 

Brownie Encampment 2015 is a Spring Pow Wow and will be at Green Oak Ranch, Saturday, April 25th through Sunday, April 26th.  Check in is at 8 a.m. Saturday, April 25th for everyone.  If your girl or adult is only going for the day, check out will be after dessert, which is around 8:30 p.m.  If your girl or adults are staying for the night, check out will be after breakfast around 9 am.

 

Total Cost for Overnighters:

      $80 for Girls - First Deposit $50

      $72 for Adults - First Deposit $42

 

Total Cost for Day Trippers

      $50 for Girls

      $42 for Adults

The day trippers need to pay the full amount on December 1st and no more will be due.

 

First deposit for overnighters and total amount due for daytrippers is:

      $50 for Girls

      $42 for Adults.

The first deposit will be due at our next Encampment Meeting, which is Monday, December 1st at 6 pm at Dingeman. 

 

Because of the holidays, we recommend that you collect the entire amount from your campers and deposit it in your troop account.  We will finalize our costs but it will be no more than what is listed.  If we come under budget, for overnighters your second payment will be less.  The second deposit will be due at a date to be determined.

 

Each troop needs to write one deposit check made payable to "Scripps Ranch Service Unit".  Please place "Brownie Encampment and your troop number" on the memo line.

 

There are no refunds once the money is submitted to the Scripps Ranch Service Unit.  If you are unable to go after you have already paid, if a new girl or adult joins, we will have them take your place and you will get a refund, however there is no guarantee that this will happen.
